1. Introduction
These terms and disclaimers govern your use of services provided by Suffolk Pickleball Company Ltd ("we", "us", "our"), a company registered in England and Wales under company number 16959911. 'Suffolk Pickleball Co.' and 'RallyPoint' are both trading names of Suffolk Pickleball Company Ltd. By booking or attending any session, league, coaching programme, tournament, or event run by us, you agree to be bound by these terms.
2. Bookings & Payment
All bookings are made through our designated booking platform (Spond) or as otherwise directed by us. Full payment is required at the time of booking unless otherwise stated. A confirmed booking constitutes acceptance of these terms.
3. Taster Sessions
We offer complimentary taster sessions to give new players the chance to try pickleball before committing to a paid booking. The following conditions apply to all taster sessions:
- Taster sessions are available to first-time participants only. One taster is available per person — this entitlement cannot be transferred or repeated.
- Taster sessions can be requested by emailing us directly, through an EventBrite event listing, or via Spond where indicated. Availability is subject to capacity and is offered entirely at our discretion.
- As taster sessions are complimentary, the refund policy does not apply. If you are unable to attend, please let us know as early as possible so the space can be offered to someone else.
- All other terms and conditions apply to taster participants in exactly the same way as paid attendees — including the Code of Conduct, Age Policy & Safeguarding, and all Disclaimers.
Attending a taster session does not constitute membership, confer entitlement to further free sessions, or grant preferential booking rights of any kind.
4. Refund Policy
Our refund policy is designed to be fair to both participants and our organisation. The following windows apply:
Full refund if cancelled at least 48 hours before the session start time.
Full refund if cancelled at least 7 days before your coaching session.
Full refund if cancelled at least 14 days before the event start date.
Cancellations outside these windows are not entitled to a refund. In exceptional circumstances, credits may be offered at our discretion. To cancel, contact as soon as possible. If we cancel or significantly change an event, you will receive a full refund or credit.
5. Outdoor Sessions
Outdoor rec-play sessions are offered on two participation models. The terms below apply to all outdoor session packs offered by RallyPoint, regardless of the number of sessions included in a given pack.
- You are pre-loaded onto all sessions included in your pack at the time of purchase.
- You may move to an alternative date if you are unable to attend a session.
- If we cancel a session due to weather or other circumstances, you will be moved to another date.
- The number of sessions per pack and the discounted rate will be clearly stated at the point of purchase.
- No discount applies — standard per-session pricing as advertised.
- Normal 48-hour cancellation policy applies.
- Same-day cancellations due to weather will receive a credit against a future session.
- Payment is via Spond as usual. Session invites will be issued as normal.
6. Age Policy & Safeguarding
We welcome players of all ages in appropriate sessions. The following age policy applies across all Suffolk Pickleball Co. activities:
- Players aged 18 and over are considered adults and may attend any adult session without restriction.
- Players aged 14–17 may participate in adult sessions provided they are accompanied by a parent or guardian for the duration of the session. The accompanying adult takes full responsibility for the young person's welfare throughout.
- Suffolk Pickleball Co. does not accept responsibility for the supervision or welfare of minors attending adult sessions. It is the responsibility of the parent or guardian to ensure appropriate supervision at all times.
- Where sessions are specifically designed for younger participants — including junior coaching, bootcamps and age-appropriate events — this will be clearly stated in the session description and booking information.
- All coaches delivering sessions to players under 18 will hold a current DBS (Disclosure and Barring Service) check and have relevant safeguarding training in place.

7. Code of Conduct
All participants must behave respectfully. We operate a zero-tolerance policy towards abusive or threatening behaviour, discrimination of any kind, and deliberate damage to equipment or facilities. We reserve the right to remove any participant without refund.
Footwear
All players are required to wear appropriate court shoes. Running shoes, casual footwear, and open-toed shoes are not permitted on court. Suitable court shoes reduce the risk of injury and protect playing surfaces.
Hydration
Players are responsible for ensuring they are adequately hydrated before, during, and after play. This is particularly important during warmer months and outdoor sessions.
8. Advertising & Conflicts of Interest
Participants, coaches, and members may not advertise, promote, or solicit — whether publicly or privately — any product, service, or organisation that we consider a conflict of interest with Suffolk Pickleball Co., without our prior written authorisation. This applies to all forms of communication, including but not limited to public posts, comments, direct messages, and any other digital or in-person channels.
9. Photography & Video
We may photograph or film sessions for promotional purposes. Please notify us before the session if you do not wish to be included. By participating, you grant permission to use images in which you appear for these purposes.
10. Data Protection
We process personal data in accordance with the UK GDPR and the Data Protection Act 2018. Data collected for booking purposes will not be sold or shared without consent except where required by law. Contact to exercise your rights.
11. Changes to These Terms
We may update these terms at any time. The current version will always be published on our website. Continued use of our services constitutes acceptance of any revisions.
12. Governing Law
These terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the English and Welsh courts.
Disclaimer.
The following statements limit our liability in respect of participation risk, health circumstances, equipment, and financial exposure. These are not contractual terms — they are protective declarations.
D1. Participation & Risk
Participation in all Suffolk Pickleball Co. sessions, leagues, coaching programmes, and events is entirely at your own risk. By attending, you confirm you are in good health and physically capable of participating, will inform us of any medical conditions that may affect you, and take responsibility for playing within your own limits. We accept no liability for injury, loss, or damage except where liability cannot lawfully be excluded.
D2. Health Conditions & Disclosure
It is the sole responsibility of each player to disclose, in advance of participating, any underlying health conditions, injuries, or medical circumstances that may be relevant to their participation. This information should be communicated directly to the session leader prior to play. Please be aware that whilst we will note any information shared with us, we and our session leaders are not medically trained and are not in a position to act on, manage, or take responsibility for any disclosed condition. Disclosure does not transfer liability — we accept no responsibility for any injury, incident, or adverse health event, whether a condition has been disclosed or not. If you are in any doubt about your fitness to participate, please seek medical advice before attending.
D3. Fair Balance & Session Rotation
Our sessions run on a structured rotation system — including court assignments, on/off order, and play sequence — managed by our hosts on the day to give every player a fair and enjoyable experience. Whilst we always aim to be as accommodating as possible, we are unable to tailor rotation positions or court placements to individual preferences. Making exceptions for one player would inevitably affect others, and our commitment is always to the fairness of the group as a whole. Our hosts' session decisions are final.
We are genuinely proud of the brilliant community that attends our sessions. The vast majority of players are wonderful sports, bring great energy, and are an absolute joy to have on court — we appreciate every single one of you enormously. We simply ask that all players trust our hosts to manage the session fairly for everyone.
D4. Equipment
Paddles and balls may be provided for recreational sessions. We accept no responsibility for loss, theft, or damage to personal equipment brought to sessions or events.
D5. Liability
Our total liability shall not exceed the amount paid for the relevant booking. We accept no liability for indirect, consequential, or economic losses.
