1. Introduction
These terms and conditions govern your use of services provided by Suffolk Pickleball Company Ltd ("we", "us", "our"), a company registered in England and Wales under company number 16959911. By booking or attending any session, league, coaching programme, tournament, or event run by us, you agree to be bound by these terms.
2. Bookings & Payment
All bookings are made through our designated booking platform (Spond) or as otherwise directed by us. Full payment is required at the time of booking unless otherwise stated. A confirmed booking constitutes acceptance of these terms.
3. Refund Policy
Our refund policy is designed to be fair to both participants and our organisation. The following windows apply:
Full refund if cancelled at least 48 hours before the session start time.
Full refund if cancelled at least 7 days before your coaching session.
Full refund if cancelled at least 14 days before the event start date.
Cancellations outside these windows are not entitled to a refund. In exceptional circumstances, credits may be offered at our discretion. To cancel, contact as soon as possible. If we cancel or significantly change an event, you will receive a full refund or credit.
4. Participation & Health
Participation is entirely at your own risk. By attending, you confirm you are in good health and physically capable of participating, will inform us of any medical conditions that may affect you, and take responsibility for playing within your own limits. We accept no liability for injury, loss, or damage except where liability cannot lawfully be excluded.
5. Age Policy & Safeguarding
We welcome players of all ages in appropriate sessions. The following age policy applies across all Suffolk Pickleball Co. activities:
- Players aged 18 and over are considered adults and may attend any adult session without restriction.
- Players aged 14–17 may participate in adult sessions provided they are accompanied by a parent or guardian for the duration of the session. The accompanying adult takes full responsibility for the young person's welfare throughout.
- Suffolk Pickleball Co. does not accept responsibility for the supervision or welfare of minors attending adult sessions. It is the responsibility of the parent or guardian to ensure appropriate supervision at all times.
- Where sessions are specifically designed for younger participants — including junior coaching, bootcamps and age-appropriate events — this will be clearly stated in the session description and booking information.
- All coaches delivering sessions to players under 18 will hold a current DBS (Disclosure and Barring Service) check and have relevant safeguarding training in place.

6. Code of Conduct
All participants must behave respectfully. We operate a zero-tolerance policy towards abusive or threatening behaviour, discrimination of any kind, and deliberate damage to equipment or facilities. We reserve the right to remove any participant without refund.
7. Equipment
Paddles and balls may be provided for recreational sessions. We accept no responsibility for loss, theft, or damage to personal equipment brought to sessions or events.
8. Photography & Video
We may photograph or film sessions for promotional purposes. Please notify us before the session if you do not wish to be included. By participating, you grant permission to use images in which you appear for these purposes.
9. Data Protection
We process personal data in accordance with the UK GDPR and the Data Protection Act 2018. Data collected for booking purposes will not be sold or shared without consent except where required by law. Contact to exercise your rights.
10. Liability
Our total liability shall not exceed the amount paid for the relevant booking. We accept no liability for indirect, consequential, or economic losses.
11. Changes to These Terms
We may update these terms at any time. The current version will always be published on our website. Continued use of our services constitutes acceptance of any revisions.
12. Governing Law
These terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the English and Welsh courts.
